Data Privacy & Protection — EE Coach

Overview

The EE Coach is committed to protecting your privacy and handling your data responsibly. This page explains how your data is collected, stored, and used when you interact with the AI coaching tool.

What Data Is Collected

  • Email address: Used for authentication, via either a magic-link email or Google sign-in
  • Conversation history: Your messages and AI responses during any coaching session (RQ Coach or Outline Coach)
  • Progress summaries: Key information captured at each step of the coaching process
  • Generated documents: PDF summaries from the RQ Coach and, if you choose to export, Google Docs from the Outline Coach written to your own Google Drive

Who Can Access Your Data

Your data is only accessible to:

  • You: Your own conversations, progress, and PDF summaries
  • Your EE coordinator: If your school uses the coordinator dashboard, your EE coordinator can view your progress and PDF summaries
  • System administrators: The admin team can access data for support and system maintenance purposes

Other students cannot see your conversations or data. Each user's data is isolated and protected.

AI & Data Training

Your conversations are NOT used to train AI models

This tool uses the Claude API from Anthropic. Under Anthropic's API data policy, conversations sent through the API are not used to train Claude models. Your conversations remain private and are only stored in a secure database.

Data Storage & Security

  • Data is stored securely using Supabase (built on PostgreSQL) with encryption at rest
  • All data transfers are encrypted using HTTPS/TLS
  • Authentication is handled via secure magic-link emails or Google sign-in — no passwords are stored
  • If you export an Outline Coach outline to Google Docs, the document is created in your own Google Drive using a narrow, file-scoped Google token — the app never reads files it did not create
  • The application is hosted on Vercel with enterprise-grade security

Data Retention

Your conversation data and PDF summaries are retained to allow you to access your coaching history. If you wish to have your data deleted, please contact me via the FAQ page.

Third-Party Services

This application uses the following third-party services:

  • Anthropic (Claude API): Provides AI responses — does not train on API data
  • Supabase: Secure database and authentication
  • Google (Sign-In, Drive & Docs): Optional sign-in provider, and — only if you choose to export an Outline Coach outline — used to create a Google Doc in your own Drive. The app uses the narrow drive.file scope, which only grants access to files the app itself creates
  • Resend: Email delivery for bug reports and contact messages
  • Vercel: Application hosting
